MPG OPERATIONS · DATA PRACTICES
Privacy policy
This policy describes how MPG Operations handles information for MPG Madean Trucking LLC and MPG Express LLC (together, “MPG”). It covers the private operational portal and this public information site.
This public site contains application information and policies. It has no connection to the portal’s operational database or connected mailboxes.
1. Information processed
Depending on the features used and permissions granted, MPG Operations processes:
- Account identity, work contact information, role and access settings.
- Loads, routes, appointments, rates, brokers, driver and equipment assignments, and related operational messages.
- Email addresses, message subjects and bodies, timestamps, thread identifiers, attachments and documents retrieved from connected Google accounts.
- Rate confirmations, invoices, BOL/POD paperwork, receipts, uploaded photos, screenshots and the information extracted from them.
- Work orders, parts, inventory, purchase and service records, and related unit history.
- Authorized fleet, driver-log, asset-location and reviewed AirTag screenshot observations used for operational verification.
- Audit records such as who captured, changed, confirmed, sent or reviewed information and when; service errors and security or connection logs.
2. Google account access and purposes
Google connections are optional and require authorization by the account holder or an authorized company administrator. The portal does not request your Google password. It stores encrypted OAuth credentials so it can renew permitted access without repeatedly asking you to sign in.
| Permission / information | Purpose in MPG Operations |
|---|---|
| Google account identity and email | Verify that the intended account is being connected and identify the authorized mailbox. |
| Gmail messages, threads and attachments | Locate load confirmations and revisions, organize intake, review operational correspondence, match Google Voice email conversations with drivers, and process relevant paperwork. |
| Gmail message and label permissions | Send authorized dispatch, broker or driver messages and maintain intake labels. Some sending and intake features use separate Google authorizations. |
| Google Sheets, when granted | Read broker worksheets and update driver, truck, pickup, delivery and other reviewed operational fields associated with loads. |
| Optional owner purchase-email connection | Let the authorized owner find purchase confirmations and choose business items to import. Access to the source personal mailbox is restricted to the owner; selected business purchase information can enter the shared inventory workflow. |
These permissions support specific portal features. They are not a grant for unrelated use of your mailbox or Google account. Original source material and extracted information may be saved in the portal for staff review, document history and authorized business records.
3. AI processing and human review
When an AI-powered feature is used or an authorized automatic intake workflow is enabled, relevant message text, PDFs, images and operational context may be transmitted to OpenAI’s API. This supports document reading, information extraction, message classification, paperwork matching and suggested updates. Processing can include Google-sourced data contained in those messages or files.
AI output can be incomplete or incorrect. Authorized users review prepared records and proposed changes in the portal. Dispatch can also explicitly enable narrowly defined automatic load-location replies, subject to the portal’s assignment, contact and freshness checks. A location reply does not confirm pickup, arrival or delivery.
MPG does not use Google user data to train or improve generalized AI models. AI processing is for the disclosed operational features. The application requests that AI responses not be stored as retrievable Responses API records; this does not remove the service provider’s separate security, abuse-monitoring or legally required retention practices.
4. Google API Limited Use
MPG Operations follows the Google API Services User Data Policy, including its Limited Use restrictions. Google-sourced information is used for the disclosed, user-facing operational features. Transfers are limited to supporting those features with authorization, security, legal obligations or another purpose permitted under that policy.
We do not sell Google user data, use it for advertising or provide it to data brokers. Human access to Google-sourced information is limited to authorized operational review with the account holder’s permission, necessary support or security work, or legal requirements.
5. Who can receive information
- Authorized MPG personnel: Staff and other authorized portal users see information according to their assigned role and workflow.
- Operational recipients: Brokers, drivers, service providers and other intended recipients receive relevant information through authorized communications, document delivery or spreadsheet updates. Explicitly configured automation can send limited operational replies.
- Service providers: Infrastructure and processing providers support the application, including OpenAI services, Cloudflare hosting/storage infrastructure and Google APIs. Relevant content may be processed by these providers to deliver the requested feature.
- Required disclosures: Information may be disclosed where required by law or necessary to address security, fraud or misuse.
Google-sourced data remains subject to the Limited Use commitments above. It is not disclosed merely because this public information site is available.
6. Storage and security
Operational records and document copies are stored in the portal’s hosted database and file storage. Access is restricted by sign-in and application permissions. OAuth refresh tokens and client secrets are encrypted in the application’s storage. HTTPS protects communications in transit. Logs and audit history support operational accountability and troubleshooting. No security system can eliminate every risk.
This information site does not use advertising trackers, analytics scripts or contact forms. The hosting provider may process normal request information, such as IP address and browser details, to deliver and protect the site. The private portal uses sign-in/session information and browser storage for features such as saved preferences and user-approved office-folder access.
7. Retention, disconnection and deletion
MPG retains operational records, source documents and audit history for business operations, accounting, maintenance, dispute resolution and applicable recordkeeping obligations. There is no single automatic deletion period covering every record type.
Disconnecting a Google connection removes the portal’s saved authorization for that connection. Revoking authorization through your Google account prevents future authorized access. Neither action automatically deletes information already saved as operational records, nor does deleting a portal copy necessarily delete the original email or file in Google.
To request access, correction or deletion of information held by MPG, email safety@mpgtrucking.com. Identify the account, document or record involved without including passwords or other secrets. MPG will verify the request and review it against operational, legal and recordkeeping requirements. Some records may need to be retained; provider logs and backups may follow separate retention processes.
8. Your choices and contact
You can decline a Google connection, disconnect an available connection through the portal, or revoke access in your Google account’s connections settings. Features requiring that access will stop working until authorization is restored. Contact MPG for account access, source-data questions or help with a privacy request.
This is a business operations service, not a service directed to children. Material changes to data practices will be reflected in this policy and communicated through the application where appropriate. New Google data uses require appropriate notice and authorization.
